A consultant opens a new file and gets a packet: passports, employment letters, financial statements, prior applications, each one long, each one in its own format. Before any real work can begin, someone has to read the whole stack, pull out the names, the dates that govern the file, the deadlines that cannot slip, and the few clauses that change the strategy. On a single packet that reading-and-extracting step ran 45 minutes to an hour, and it happened on every file before the actual consulting started.
To go faster, the practice had started pasting documents into a public AI chat to summarize them. It was quicker, but it meant client material was leaving the practice's control, and the summaries still had to be checked line by line against the originals.
We built a single document-intake tool sized to how a small practice actually works. The extraction is AI-driven with a deterministic fallback behind it, so a messy scan still produces a usable sheet instead of failing outright. The whole thing runs inside the practice's own environment, so client documents never pass through a public tool to get summarized. What is left for the consultant is the judgment: confirm the sheet, adjust it, and move straight into the case.
The read-and-extract step that opened every file dropped from about 45 minutes to roughly 5, close to 90 percent off the part of intake that always ate the most time and added nothing a client could see. The consultant starts each file from a checked one-page synthesis instead of a cold stack of PDFs, and key dates and deadlines are surfaced up front rather than found later.
The practice also stopped routing client documents through a public summarizer. The same speed now happens inside tooling the practice controls, and the sensitive material stays where it belongs.
