The challenge

In the busy stretch of the year the phone rang about sixty times a day. Most of it was not the work: price shoppers, cold sales calls, people who would never book. The lead practitioner triaged the calls by hand, took the ones that mattered, and let the rest fall to voicemail, where they piled up and broke concentration on the cases that actually needed judgment. The honest line for it was simple: when you come in, you are there physically, but mentally you are already somewhere else.

Underneath the calls sat a quieter cost. The same patient and visit details were keyed in more than once, copied by hand between the practice software, spreadsheets, and client folders as records and forms arrived by email in a jumble of PDFs, scans, and photos. Behind the receptionist we phased in the intake pipeline. Incoming documents are captured from email and attached to the right patient and file automatically, the system knows what is still missing per file and chases it on its own, and AI reads the records and forms into structured data that pre-fills the practice software. Every extracted value sits beside its source document in a review screen. The staff validate, correct, or reject in a glance. The machine prepares the file; a person always reviews before anything is committed.

The outcome

The roughly sixty daily calls in peak weeks stopped landing on the front desk. The clinic still answers everyone, but the practitioner only sees the requests worth their time, and the cases that need real attention get it instead of competing with sales calls and price shoppers.

The double entry is gone too. Records arrive, get attached to the right file, and come back pre-filled and ready to check rather than retype. The work left for a person is the part that needs a trained eye, confirming and adjusting the data, not copying it from one screen to another. The build paid for itself within the first peak season it ran through.
